The Recency Checklist Certificate feature allows a certificate to be generated automatically when a Recency is updated through a checklist in a check form.
The certificate is created from a configurable template and is stored against the completed Recency record.
In this guide:
Configuring Certificate Templates
First, define the layout and content of the certificate.
Go to Site Setup > Recency Check Form Setup.
Select Recency Checklist Certificate Templates tab.
A Default certificate body is already provided, which can be edited to suit your organisation’s wording and layout requirements.
Using the Recency Item drop-down list, you can customise a template to a specific Recency item (for example, Medical or Line Check).
The Default Template acts as the base version and will apply to any Recency item that does not have its own specific template configured. Where a Recency-specific template exists, the system will use that template instead of the Default Template.
The Certificate Template Body editor is used to design the certificate itself. You can:
Add static text, such as titles and standard wording.
Use the formatting tools to structure the layout.
Insert placeholder fields to automatically populate unique Recency data.
Available placeholders are visible in the column on the right side of the page. Drag and drop the placeholders to the editor.
Once configured, click Save.
Enabling Certificate Generation for a check form or a checklist
Certificates are generated through the checklist that updates a Recency, not directly from the check form itself.
There are two steps to ensure the certificate gets generated.
Step 1: Enable on the Recency Checklist Template
Go to Recency > Recency Check Form Setup, then select the Recency Checklists tab.
Click the pencil icon next to the relevant checklist template.
In the Recency section, locate the linked Recency item and select Generate Certificate next to it.
Click Update.
Step 2: Enable within a specific Check Form only
Go to Recency > Recency Check Form Setup, then select the Recency Check Forms tab.
Click the pencil icon next to the relevant check form.
In the Selected Checklists section, locate the checklist and select Generate Certificate.
Click Update.
Important:
If the Recency is set up as Type Specific, the check form must be set up as "on Aircraft" to capture the aircraft data for the recency item.
Completing the Check Form
Once configured, certificates are generated automatically when the check form instance is completed, with a Recency / Currency Achieved chosen.
Follow the standard process for completing the check form.
Accessing the Recency Certificate
After the check form is completed:
Open the relevant user profile and go to the Recency page.
Locate the updated Recency item.
Click the certificate (document) icon next in line with the Recency, or open the recency via the magnifying glass, to open or download the generated certificate (PDF).
