Recency items can generate automatic notifications to ensure key personnel are aware of upcoming expiries.
Understanding Contacts in Air Maestro
In Air Maestro, Contacts are the people or roles that receive notifications for expiring recency items. They can be assigned to any type of recency item: Personnel, Aircraft or Company.
For Personnel Recency, the person whose recency is expiring will always receive a notification automatically.
Additional Contacts will also receive similar alerts.
Contacts can be:
Specific personnel within the system, or
Roles such as Chief Recency Officer, Department Recency Officers, Base Department Recency Officers, or Base Recency Officers.
Assigning Recency Roles
Department Recency Officers
To reference department-specific roles as Contacts, roles must first be assigned at the department level.
Go to Site Setup > Recency Setup > Recency Settings/Roles.
For each department, assign the appropriate Department Recency Officer
Once assigned, that department role can be referenced as a Contact in the recency setup.
For example, if a pilot’s recency is expiring, the Pilot Recency Officer will automatically receive the related notification.
Chief Recency Officers
On the same Recency Settings/Roles page, you can also choose the Chief Recency Officer role.
Base Recency Officers and Base Department Recency Officers
For larger organisations with multiple bases, Recency Officers can be assigned per base or per department within a base.
Go to Menu > Locations
Click the magnifying glass next to the desired base.
In the Base Details page, locate the Recency Officer column.
Using a pencil icon to the right, assign a Base Recency Officer for the entire base, or specify officers per department for that base.
For example, if Pilot assigned to Adelaide Home Base has an expiring recency, the Pilot Department's Recency Officer for Adelaide Base will automatically receive the related notification if chosen as a Contact.
Assigning Contacts for Recency Items
The Access Level required to edit all Recency Items' Contacts is:
To assign Contacts:
Navigate to Site Setup > Recency Setup.
Locate the desired recency item and click the pencil icon to edit it.
If the Recency is Personnel Recency, make sure to use department selection to assist in finding the item.
In the Contacts dropdown list, select one or more persons or roles to assign as contacts.
Click OK to save the changes.
When set up, Contacts will receive an Air Maestro Alert for expiring recency items. No specific emails are sent.
To receive a notification via email, Scheduled Emails need to be enabled per profile.
These notifications will contain classifying alerts from multiple modules, including Recency Alerts.
