In Air Maestro, pilots and crew must hold the correct endorsements to be added to a flight record.
This guide answers some of the most common questions we get on Flight Records entry:
Why can't I choose myself as Crew for the flight?
Why can't I choose the Aircraft Registration I want in a Flight Record?
Why can't I choose myself as PIC (Pilot in Command) for a flight?
The likely reason why you cannot select your name or the correct aircraft registration when creating or editing a flight is that you have not linked the proper Aircraft Type Endorsements (Rating) to your profile.
To manage your own Endorsements, you need the following access at a minimum:
Why Endorsements matter
Each organisation’s Air Maestro site includes an Aircraft Register, where every Aircraft Registration is linked to its corresponding Aircraft Type.
If you do not hold an endorsement for that Aircraft Type, you will not be able to add yourself as Pilot in Command, Co-Pilot, or Crewman on flights involving that Registration.
This safeguard ensures that only personnel with the correct type rating can be recorded on flights they are qualified to operate.
Managing your Endorsements
Go to My Profile > Endorsements
Review the Current Endorsements section to see which aircraft types you are endorsed on.
To add new Endorsements:
Click Add Endorsement to select one endorsement at a time.
You will see a New Endorsement section showing to the right. Click on the Select Endorsement button.
You will be able to choose how you'd like to add the Endorsement.Select Company Operated Aircraft - allows you to choose from the list of Aircraft Types that are assigned to Aircraft from your company's Aircraft Register.
Search by Aircraft - allows you to choose a specific Manufacturer and Model of an Aircraft.
Search by Endorsement - allows you to search by an Aircraft Type Designator (Doc 8453 code).
Click on the Confirm button to save your selection. The Aircraft Type will display.
Press Save to save the changes.
Click Bulk Add Endorsements to add multiple endorsements at the same time from your organisation's Aircraft Register.
You will see a Bulk Add Endorsements section showing to the right.
Tick the Aircraft Types you wish to add to your Endorsements and press Add.
The Aircraft Type(s) will display.
Press Save to save the changes.
If still having issues
If you cannot see your name or the aircraft registration even after adding endorsements:
Confirm that the Aircraft Registration is linked to the correct Aircraft Type in your organisation’s Aircraft Register.
Ensure that your Endorsement matches that Aircraft Type - If you do not have access to the Aircraft module, ask your site administrator for assistance.
Things to avoid
Do not add an incorrect Aircraft Registration just to complete a flight record.
Avoid using the “Other” Registration option unless it is a very temporary measure. Entries under “Other” are not linked to the Aircraft Register and can make finding the flight or reporting on flight data more difficult.
